About Suruca

A small London-based team handling admin work so business owners do not have to.

Suruca started in 2022 as a one-person operation working out of a shared desk near Brick Lane. The founder had spent several years inside small marketing agencies, watching directors lose entire afternoons to inbox management, invoice chasing and diary reshuffling — tasks that mattered but rarely needed a director's attention. The idea was straightforward: offer that admin capacity as a flexible service rather than a full-time hire.

Four years on, the company is a team of seven working across four areas of London, supporting small firms and independent professionals who need reliable support without adding to payroll. In that time we have taken on 370 completed jobs for 252 clients, and 81 of those clients have come back for a second piece of work. Growth has stayed deliberate — we added services only once we had the people to deliver them properly, which is why the company now offers eight distinct service lines rather than a long, thin list of add-ons.

What we set out to do

The mission is narrow on purpose: give small businesses and busy professionals in London back the hours lost to repetitive administrative work, at a price that makes sense next to hiring in-house. We are not trying to replace an operations department — we are trying to be the reliable extra pair of hands that answers the phone, keeps the calendar honest and gets correspondence out on time.

Looking ahead, the plan is steady rather than dramatic: keep the team small enough that clients deal with the same one or two people each time, and only add a ninth or tenth service once demand for it is already there. We would rather turn down work that does not fit our current skills than promise something we cannot deliver reliably.

How we work

Experience across the work we take on

Since 2022 the team has handled inbox and calendar management, supplier correspondence, data entry, basic bookkeeping support, travel and meeting arrangements, customer enquiry handling, document formatting and light social media scheduling. Some clients use one of these services for a single project; others have a standing weekly arrangement that has run for over a year. Both models work within the same pricing structure, which is laid out in full on the pricing page rather than negotiated case by case.

Most of the people we work with are sole traders, small retail businesses and independent consultants based in and around London — the kind of business where one person is doing five jobs at once and admin is usually the one that slips. We are not set up for large corporate accounts with multi-department sign-off; we are built for founders and small teams who need something done correctly and do not have time to explain it twice.

Why the details matter

A missed email reply or a double-booked meeting rarely feels serious on its own, but they add up over a year into lost sales and strained supplier relationships. Our approach is to treat the small tasks with the same care as the larger ones: a supplier invoice gets logged the same day it arrives, a customer query gets a response within the hour it was promised, and a calendar change gets confirmed in writing rather than assumed. None of this requires new technology or a clever system — it requires someone paying attention, which is what the role is for.

Daniel

Admin & Bookkeeping Support

Manages invoice tracking, data entry and basic bookkeeping tasks for clients who need their records kept current without hiring an in-house bookkeeper.

Priya

Correspondence & Scheduling

Manages shared inboxes, replies to routine customer queries and keeps client calendars organised across meetings, calls and travel bookings.

Why clients work with us

Suruca has handled 370 completed jobs for 252 clients since 2022. Here is what shapes how the team approaches each task, from a single email to an ongoing weekly arrangement.

Reply within an hour

Requests sent during business hours typically get a response within 1 hour. This applies to new enquiries and to existing clients asking for an extra task to be scheduled.

Small, steady team

Seven people cover the current workload, split across administration, scheduling and correspondence. Clients usually deal with the same one or two assistants rather than a rotating pool.

Eight defined services

Work is organised into eight service types, from inbox management to travel booking. Each one has a set process, so a request does not need to be explained from scratch every time.

Repeat arrangements

81 clients have returned for a second job after the first one was completed. Many move on to a recurring weekly or monthly booking once the first task is finished.

Local coverage

Work currently covers four areas across London, which helps when a task involves a courier pickup, a local appointment, or coordination with a supplier based in the city.

Plain pricing, no surprises

Prices are listed by task rather than hidden behind a quote form. A client can see the cost of a service before deciding whether to send the request.

Frequently Asked Questions

Below are answers to the questions we hear most often from clients in London considering virtual assistant support. If your question is not covered here, contact us directly at [email protected] or call +44 20 3868 6500.

Most of our workload falls into three groups: inbox and calendar management, document and data handling, and customer or supplier communication. In practice that means sorting and replying to emails, booking meetings, preparing invoices, updating spreadsheets, transcribing notes, and answering routine enquiries on your behalf. We currently offer 8 distinct service lines, from diary management to social media scheduling, and clients typically combine two or three of them depending on the size of their business. During the first call we map out which tasks are repetitive enough to hand over safely, and which ones you should keep.

Our standard reply time is one hour during business hours, Monday to Friday, 09:00-17:30. This applies to both new enquiries and ongoing task requests from existing clients. If a request lands outside those hours, it is picked up first thing the next working day. We do not operate on Saturdays or Sundays, so anything sent over the weekend is queued for Monday morning. For clients with recurring weekly tasks, we usually agree a fixed slot in the diary so nothing depends on someone remembering to send a reminder.

No. Work can be booked as a one-off job, a set number of hours per month, or an ongoing arrangement that you review whenever you like. Roughly a third of the clients we have served since 2022 come back for a second piece of work after the first one is finished, but there is no obligation to continue. If your needs change, you tell us, and the arrangement is adjusted or paused. We find this suits small businesses and sole traders better than a fixed annual contract, since workload in London businesses tends to shift with the seasons.

Pricing is published on our services page as a plain list, either per hour or per task, so you know the figure before work begins. There are no set-up fees and no charges for the initial consultation call. If a job turns out to need more time than estimated, we pause and confirm with you before continuing rather than simply billing extra hours. Invoices are issued monthly for ongoing arrangements, or on completion for one-off jobs, and always itemise what was done.

Suruca is a team of 7, and clients are assigned to one main point of contact rather than a rotating pool of strangers. That person learns your preferences, your tone of voice for emails, and the specific way you like documents formatted. If they are on leave, a colleague who has already been briefed on your account steps in, so work does not stop. We do not outsource client work to freelancers outside the team, which keeps communication direct and consistent.

Yes. Access to shared documents, inboxes or booking systems is limited to the person or people working on your account, and login details are never reused across clients. We can sign a confidentiality agreement before starting work if your business requires one, which is common for clients handling client lists, supplier pricing or unpublished content. When a project ends, shared access is revoked and any local copies of files are deleted from our side.

Our office is at 34 Brick Lane, and since almost all work is carried out remotely, location within London rarely matters. We currently serve clients across 4 areas of the city, and in-person meetings, when needed, can be arranged near Brick Lane or at your own premises. For anything beyond scheduled calls or occasional document handovers, video calls and shared online folders cover the day-to-day handover of work.

You flag the specific issue and we correct it as part of the original job, at no extra cost, provided the request falls within what was originally agreed. Since 2022 we have completed 370 jobs for 252 clients, and most revision requests come down to a formatting preference or a missed detail that is quick to fix once we know about it. If a bigger misunderstanding occurred about the scope of work, we discuss it directly rather than leaving it unresolved.

Send an outline of what you need to [email protected] or call +44 20 3868 6500 during business hours. We reply within about an hour with questions or a proposed starting point, and if it looks like a fit, we schedule a short call to confirm scope and pricing. Most new clients have their first task underway within a few working days of that initial call, without any lengthy onboarding process.

Client Reviews

Below is a selection of comments from clients who have worked with our virtual assistant team since 2022. We have not edited out the reservations — a full picture is more useful than a polished one.

Helen Marsh Islington, London
★★★★★

Suruca took over my inbox and calendar management within the first week. I stopped dreading Monday mornings because everything was already sorted before I logged on.

Oliver Baxter Shoreditch, London
★★★★

Good work overall on invoice chasing and data entry. The one thing I'd flag is that the handover notes between two assistants during a holiday cover week were a bit thin, so I had to repeat some context. Nothing that affected deadlines though.

Priya Chandra Camden, London
★★★★★

Replied to my request in under an hour, as promised. Rare these days.

Gareth Owen Hackney, London
★★★☆

The research task on supplier pricing was thorough and came back with a clear spreadsheet, which I liked. Communication mid-project was a bit slow though — two emails went unanswered for almost a day. Result was solid, process could be tighter.

Susan Fielding Greenwich, London
★★★★★

We brought Suruca in to manage a backlog of customer emails after our own assistant left. Within ten days the queue that had built up over six weeks was cleared, and a proper triage system was set up so it wouldn't happen again. Since then two more small projects have gone through them, and both times the quote matched the final invoice exactly, no surprises.

Tom Whitfield Brixton, London
★★★★★

Fair pricing for what was delivered. I compared their hourly rate against two freelancers before deciding, and Suruca came in similar on cost but with a named point of contact rather than a rotating pool. That mattered more than I expected.

Anita Kaur Ealing, London
★★★★

Diary management has been reliable for the past four months. Only minor issue was a double-booking early on in month one, which was corrected the same day and hasn't recurred since.

David Ncube Peckham, London
★★★☆

Used them for a one-off task — formatting and proofreading a 40-page report before a client meeting. It was done on time and the corrections were sound, though I had expected slightly more comment on structure, not just wording. Would still use again for similar jobs.

Fiona Marchetti Clapham, London
★★★★★

Booked them for travel planning and expense reconciliation ahead of a busy quarter. Every flight change was updated in the calendar within the hour, and the expense report arrived two days before the deadline I'd given. This is the second job I've sent their way this year.

James Okoro Wimbledon, London
★★★★★

Straightforward, no fuss, invoice matched the quote.

Rachel Simmons Fulham, London
★★★★★

What stood out was how they handled a scheduling conflict between two of my suppliers without escalating it to me first — they proposed two alternative time slots and confirmed one within the same afternoon. That kind of initiative is what I was hoping for when I started outsourcing admin work.

Marcus Aldridge Bermondsey, London
★★★★

Social media scheduling task went smoothly, posts went out on time across the month. Only reservation is that the reporting summary at the end was quite brief — a couple more lines of analysis would have helped when presenting results internally.

Louise Pemberton Richmond, London
★★★★★

Signed on for ongoing support after a difficult stretch trying to manage bookings on my own. Four months in, the process is calmer, response times to my own clients have improved, and I no longer lose evenings to admin. Genuinely useful change to how the business runs day to day.
